New job-applicant tracking system debuts

A new Web-based applicant tracking system has replaced manual resume processing via Resumix and PeopleSoft's "Recruit Workforce" module. The new system, called Trovix Recruitment Manager, went live on July 6 and has several advantages over the legacy applications it replaced, according to the Office of Staff Employment (OSE), a division of Human Resources Services.

With Trovix, hiring managers will receive one automated e-mail that will include linked access to all daily resumes—instead of receiving one e-mail for each resume. The new system also allows hiring managers to "rate" applicants and receive resumes in their original format when an applicant uploads a resume into the system.

Furthermore, all authorized personnel involved in the hiring process can now review applicant information concurrently and can access the system around the clock, except when maintenance on the system is being performed.

Because the new system differs significantly from the old ones, the staff-employment office held several training sessions in July, and more have been scheduled on Thursday and on Aug. 10, 17, 22, 24 and 29. Users include OSE recruiters, human resources staff and several hundred hiring managers across campus.

Trovix will not affect the look of the Stanford Jobs website. Applicants will, however, be linked to the new system as they click on the job search function. The Stanford Jobs website is currently being redesigned and is expected to reflect the changes in the fall. For more information on Trovix, including a list of frequently asked questions for users, go to http://hrweb.stanford.edu/ose/.

To sign up for training, go to http://axess.stanford.edu/ and click on the "Training" tab at the top of the page, then browse the catalog for Human Resources sessions. A SUNet ID is required. Staff also may sign up for hiring managers training by sending an e-mail to Keith Copeland at keithc1@stanford.edu.
