New system for logging hours, leave to replace Kronos in May
Beginning with the pay period of May 1-15, university employees will use a new application to record hours worked and leave taken. Axess Timecard, which officially goes live on May 5, will replace the Kronos system that has been used since 2002.
Limitations of the existing system, Kronos Workforce Central, prompted the university to begin evaluating possible alternatives last year. The Timecard application, developed by PeopleSoft, was ultimately selected because it offers greater flexibility and readily integrates with Stanford's Human Resources and Payroll systems.
"The Axess Timecard enables us to more effectively meet our business needs. At the same time, employee users will find the interface both intuitive and more stable than Kronos," said Payroll Director Kelly Wright. "This is a positive change all around."
Launching and using the new system should feel familiar for users. They will still log in through Axess and click a link on the "Employee Information" tab. The difference is that no second login will be required. Users will be taken directly to their timecard, where they can immediately begin entering information. Timecards are customized to show only relevant fields, making them easier to navigate and use.
Supervisors should find it easier to access timecards for their direct reports. Summary information will be available immediately upon login, making the approval process quick and straightforward. In units where local business practice allows it, supervisors who in the past could only approve timecards via paper will now have the option—and are encouraged—to enter approvals online.
Online help will be immediately available via the Help link within the Timecard application. Online demos and job aids are already available on the Axess Timecard website, at http://timecard.stanford.edu.
To support users during the transition, Wright said payroll staff also will be available via HelpSU, at http://helpsu.stanford.edu.
To further assist time and leave administrators, Payroll is providing a series of live presentations demonstrating the differences between Kronos and Axess Timecard. Open lab sessions also will be held immediately after the new system goes live to provide administrators with one-on-one assistance as needed.
Administrative Systems, Human Resources and Payroll collaborated on the project to retire Kronos and implement Axess Timecard.
